1. Purpose This Standard Operating Procedure (SOP) establishes guidelines for the management and operation of the Learning Management System (LMS) at EdSoft. It is intended to ensure the effective and efficient use of the LMS for educational and training purposes.

2. Scope This SOP applies to all activities related to the LMS, including course creation, user management, content management, reporting, and system maintenance.

3. Responsibilities

  • LMS Administrator: Responsible for the overall management of the LMS, including system configuration, user access, and troubleshooting.
  • Content Managers: Accountable for uploading and updating course content within the LMS.
  • Instructors/Trainers: Responsible for delivering training and monitoring learner progress within the LMS.
  • IT Support Team: Provides technical support and assistance for LMS-related issues.

4. Procedure

4.1 System Setup and Configuration

  • Set up and configure the LMS according to organizational requirements and specifications.
  • Define user roles and permissions within the LMS.

4.2 Course Management

  • Develop a standardized process for course creation and setup within the LMS.
  • Ensure that course materials are uploaded and organized in a user-friendly manner.

4.3 User Management

  • Establish procedures for creating and managing user accounts, including enrollment and deactivation.
  • Provide users with necessary access and permissions based on their roles.

4.4 Content Management

  • Implement a process for regularly updating and maintaining course content.
  • Ensure content alignment with training objectives and compliance with relevant standards.

4.5 Reporting and Analytics

  • Utilize LMS reporting tools to track user progress, course completions, and other relevant metrics.
  • Regularly review and analyze these reports to inform improvements in training and content.

4.6 System Maintenance and Updates

  • Schedule and perform regular maintenance of the LMS to ensure optimal performance.
  • Apply system updates as needed, ensuring minimal disruption to users.

4.7 User Support and Training

  • Provide ongoing support and training to LMS users for effective system utilization.
  • Develop user guides and FAQs for common LMS tasks and issues.

4.8 Data Security and Privacy

  • Implement and enforce data security protocols to protect sensitive information within the LMS.
  • Ensure compliance with relevant data protection laws and regulations.

5. Documentation and Record Keeping Maintain comprehensive documentation of all LMS processes, user guides, system changes, and maintenance activities.

6. Revision and Updates Regularly review and update this SOP to reflect changes in technology, organizational needs, or best practices in LMS management.
